DVS TERMS AND CONDITIONS


 

Agreeing to participate in lessons with Dance Vancouver Studio means you agree to the following terms and conditions. If you have questions or concerns regarding any part of these conditions please contact us prior to participating.

 

PRIVACY POLICY

 

At Dance Vancouver Studio, we are committed to protecting your privacy. By using our website and services, you agree to the collection and use of information in accordance with this policy.

When you register for classes, make payments, or interact with our website, we may collect the following information: 

​- Personal Information: Name, email address, phone number, and billing address.

- Payment Information: Credit card or payment details processed through Wix’s secure system.

​

How We Use Your Personal Information to:

- Process class registrations and payments.

- Communicate with you about classes, events, and studio updates.

​

Payment Processing: We use Wix for payment processing. Wix may collect additional information as part of their payment processing system. For more details on Wix’s data practices, please review their Privacy Policy here.

​

Data Security: We take all reasonable measures to ensure your personal information is secure and protected. Your privacy is important to us, and we work hard to maintain a safe environment for your data.

Your Privacy Rights: You have the right to request access to or deletion of your personal information. For any requests or questions, please contact us at dancevancouverinfo@gmail.com

 

PAYMENT POLICY

 

By selecting a product or service, you agree to pay Dance Vancouver Studio the one-time and/or monthly or annual subscription fees indicated. Membership payments will be charged on a pre-pay basis on the day you sign up and will cover the use of that service for a monthly or annual subscription period as indicated.

 

Payments are non-refundable unless in exceptional circumstances, which are determined at the discretion of the studio and based on our overall policies. Dance Vancouver Studio reserves the right to change the payment terms and fees at any time, however, we will endeavor to inform students of any changes as soon as possible.

CREDIT / REFUND POLICY

 

Refunds, credits or extensions may be granted due to injuries or serious illness (minus processing fees). Medical proof required. Personal matters or holidays taken will not be considered as eligible for refunds or credits.

 

Note: any credit given will expire in 6 months after being issued and cannot be extended. Credit is non transferable.

DVS CANCELED CLASSES POLICY

 

If classes are canceled due to the fault of the Studio, the time will be made up, or credit will be carried forward to the following month’s fees. This will be done at the discretion of Dance Vancouver Studio.

 

If it is necessary to cancel a class due to adverse weather conditions, Dance Vancouver Studio will not refund class fees, but when possible, will offer ‘make-up lessons’ at a later date instead.

 

 

CLASS BOOKING & CHECK-IN POLICY


DVS students are encouraged to book themselves in for all classes they plan to attend. It is strongly recommended to book your classes immediately after registration / payment has been made. Once payment has been made you will be prompted to book yourself in for classes. Bookings can be done by following the prompts after payment has been made, and or on the dancevancover.ca website or on the DVS (Fit by Wix) App. Bookings need to be done before the start of the class.

The class booking and cancellation guidelines are in place to better help us provide the best experience by helping balance ratios of leads and follows and allow potential waitlisted persons the opportunity to join a fully booked class. Booking in advance helps streamline the check-in process. 

 

Cancellations: Class bookings and booking cancellations can be done directly through the dancevancouver.ca website (My account > My Bookings) as well as on the DVS (Fit by Wix) App no later than 6 hours prior to the start of the class. Cancellations can also be done over the phone through the front desk. If a student is unable to attend a class, they must cancel their booking before the class starts. If they fail to cancel and do not attend, they will be marked as a no-show. The class will be deducted from their subscription, and no refund or credit will be issued.

Check-In

- First Class at DVS: All students must check in with the front desk staff for their very first class at the studio, regardless of whether they have booked in advance.

Subsequent Classes: After your first class, you will be able to self-check-in for future classes, provided you have booked in advance.

​

All students must be checked in before entering a class—NO EXCEPTIONS. If you are running late, you can still attend the class, but you must check-in before entering. If a class reaches its limit, we won’t be able to accommodate additional participants.

​

WAITING LIST POLICY

​

To join a class waitlist prospective students must book through the DVS (Fit by Wix) App. When a spot opens up waitlist members will be notified in order of first come first serve. Be mindful you have only 15 minutes to confirm your spot once notified. If you fail to confirm your spot in the 15 minute window, the opportunity will go to the next person in line.

 

DROP-IN POLICY

​

A Drop-In payment is valid for a 1-hour class. Drop-Ins cannot be booked in advance and must be completed at the front desk. We recommend arriving 10-15 minutes before the class start time to allow for registration and check-in.

 

Drop-In fees that have already been used cannot be put towards any Class Pass or membership. Drop-ins are only possible if space is available, and if it does not reasonably disrupt the class lead to follow ratio and that the class level is appropriate for the drop-in student, 

 

Prospective students are welcome to view any and all classes before joining. 

 

 

CLASS PASS POLICY

 

- Activation: Class Passes activate on the start date selected at the time of online purchase. This date must be within 3 months of the purchase date. If purchasing in person, please inform the front desk of your preferred start date at the time of purchase.​​

​

- Non-Refundable: Class Passes are non-refundable after 3 days of purchase or once the first class is attended, whichever comes first. No refunds or credits will be issued for unused classes. Class passes are non-transferable.

​

- Modification of Start Date: Students may request one complimentary change to their selected start date, provided no classes have been attended and the new date still falls within 3 months of the purchase date. To request a change, students must contact us via email at dancevancouverinfo@gmail.com. Any additional start date changes will incur a $5 administrative fee per change. Once a Class Pass is activated, it cannot be placed on hold or further modified.

​

- Expiration: Class Passes are valid for the number of days and number of classes specified on the pass at the time of purchase, starting from the selected start date, regardless of class attendance. No extensions are allowed, except in cases of serious medical conditions, where medical proof is required.

​

NEW STUDENT DEAL POLICY

 

This one Month New Student Promo is for NEW students only, and cannot be purchased if you have paid for classes at DVS within the past 3 years. New students to DVS with prior experience elsewhere are strongly encouraged to book a complimentary assessment. Assessments are used to help direct prospective students to the best starting point within our program.

 

Dance Vancouver Studio reserves the right to refuse enrollment in classes where the dancer is not at the standard required. 

​

Activation: The New Student Deal activates on the start date selected at the time of online purchase. This date must be within 3 months of the purchase date. If purchasing in person, please inform the front desk of your preferred start date at the time of purchase. This is a one-time payment membership and does not automatically renew.

​

Non-Refundable: The New Student Deal is non-refundable after 3 days of purchase or once the first class is attended, whichever comes first. This membership is non-transferable.

​

Modification of Start Date: Students may request one complimentary change to their selected start date, provided no classes have been attended and the new date still falls within 3 months of the purchase date. To request a change, students must contact us via email at dancevancouverinfo@gmail.com. Any additional start date changes will incur a $5 administrative fee per change. Once a Class Pass is activated, it cannot be placed on hold or further modified.

Expiration: The New Student Deal is valid for 2 weeks of unlimited classes within the student’s level, starting from the selected start date, regardless of class attendance. This membership will expire 3 months after purchase.  No extensions are allowed, except in cases of serious medical conditions, where medical proof is required.

​

NSD for Couples:
A Couples option is now available for the New Student Deal, which is valid for 2 people and is also valid for 2 weeks of unlimited classes within the students level. Both students must be new. Each person will need their own account in order to book and check-in for classes. You can only register one person’s contact information at the time of purchase. To activate the plan for your partner, please email us their contact information at dancevancouverinfo@gmail.com, and we will create an account for them.

1 - MONTH UNLIMITED MEMBERSHIP POLICY

 

Activation: The 1 Month Unlimited membership activates on the start date selected at the time of online purchase. This date must be within 3 months of the purchase date. If purchasing in person, please inform the front desk of your preferred start date at the time of purchase. This is a one-time payment membership and does not automatically renew.

​

Non-Refundable: The 1 Month Unlimited membership is non-refundable after 3 days of purchase or once the first class is attended, whichever comes first. This membership is non-transferable.

​

Modification of Start Date: Students may request one complimentary change to their selected start date, provided no classes have been attended and the new date still falls within 3 months of the purchase date. To request a change, students must contact us via email at dancevancouverinfo@gmail.com. Any additional start date changes will incur a $5 administrative fee per change. Once the 1 Month Unlimited membership is activated, it cannot be placed on hold or further modified.

- Expiration:  The 1 Month Unlimited membership is valid for one month of unlimited classes within the student’s level, starting from the selected start date, regardless of class attendance. This membership will expire 3 months after purchase. No extensions are allowed, except in cases of serious medical conditions, where medical proof is required.

​

*The 1 Month Unlimited membership excludes workshops, bootcamps and special events.*

 

 

ONGOING MEMBERSHIP POLICY

​

- Activation: The Ongoing membership activates on the start date selected at the time of online purchase. This date must be within 3 months of the purchase date. If purchasing in person, please inform the front desk of your preferred start date at the time of purchase. This is a recurring monthly membership, and payments will be automatically charged to the credit card on file each month.

​

- Non-Refundable: The Ongoing membership is non-refundable after 3 days of purchase or once the first class is attended, whichever comes first. This membership is non-transferable.

​

- Modification of Start Date: Students may request one complimentary change to their selected start date, provided no classes have been attended and the new date still falls within 3 months of the purchase date. To request a change, students must contact us via email at dancevancouverinfo@gmail.com. Any additional start date changes will incur a $5 administrative fee per change. Once the Ongoing membership is activated, it cannot be placed on hold or further modified.​

​

- Expiration: The Ongoing membership grants access to unlimited classes within the student’s level, starting from the selected start date on a monthly basis until canceled. There is no set expiration date.

​

- Guest Benefit: Members with an Ongoing membership are allowed to bring 1 guest per month. The guest will receive a free Drop-In valid for 1 class (1 hour) appropriate for their level. To bring a guest, the member must notify the front desk at check-in. The guest will need to provide their contact information to create an account for check-in.

​

- Failed Payment and Grace Period: If a payment fails for any reason, your account will enter a grace period of 7 days to allow you to update your payment details. If the payment is not successfully processed by the end of the grace period, your membership will be automatically canceled.

​

To update your credit card information, you must log into your account through the DVS (Fit by Wix) App or on the website. Once logged in, navigate to your profile and access your wallet to update your payment details. Please note that we are unable to modify payment information on our end.

​

- Membership Resumption: Please note that if your membership is canceled for any reason, any new membership will be subject to the current pricing, even if the previous membership had a cheaper rate.

​

 -Failure to Complete the Commitment: Members who do not fulfill their 3-month commitment may be ineligible to purchase a new Ongoing membership until 3 consecutive months have passed since their last membership cancellation or interruption.

​

HOLD:

Ongoing memberships can be placed on hold for a maximum of 2 months per calendar year after 3 consecutive successful payments have been made. If another service (e.g., a Drop-In or a Class Pass) is purchased or used during the hold period, the hold won’t count against the student’s annual hold limit.

​

Requests for holds must be made by email to dancevancouverinfo@gmail.com at least 1 week before the start of the hold period. Please note: Any request made less than 1 week before the desired hold period cannot be guaranteed.

​

CANCELLATION:

The Ongoing membership may be canceled any time after the third month has been paid. To cancel, please notify Dance Vancouver Studio staff by email at least 1 week before the billing date at dancevancouverinfo@gmail.com. At this point, Dance Vancouver Studio will cancel the membership at the end of the current paid month. An email confirmation from DVS will be sent confirming the termination. Any request received after the billing date will be processed for the following month. 

​

ANNUAL UNLIMITED MEMBERSHIP POLICY

​

- Activation: Annual Membership activates on the start date selected at the time of online purchase and expires 1 year later. This date must be within 3 months of the purchase date. If purchasing in person, please inform the front desk of your preferred start date at the time of purchase. This is a one-time payment membership and does not automatically renew.

 

- Non-Refundable: The Annual Membership is non-refundable after 3 days of purchase or once the first class is attended, whichever comes first. This membership is non-transferable.

​

- Modification of Start Date: Students may request one complimentary change to their selected start date, provided no classes have been attended and the new date still falls within 3 months of the purchase date. To request a change, students must contact us via email at dancevancouverinfo@gmail.com. Any additional start date changes will incur a $5 administrative fee per change. Once the Annual Membership is activated, it cannot be placed on hold or further modified.

​

- Expiration:  The Annual Membership is valid for 12 months of unlimited classes within the student’s level, starting from the selected start date, regardless of class attendance. No extensions are allowed, except in cases of serious medical conditions, where medical proof is required.

​

*The Annual Membership excludes workshops, bootcamps and special events.*

​

HOLD:

The Annual membership can be placed on hold for a maximum of 3 months per calendar year. The hold can be split into up to three separate 1-month holds, taken one at a time. Requests for holds must be made by email to dancevancouverinfo@gmail.com at least 1 week before the start of the hold period. Please note: Any request made less than 1 week before the desired hold period cannot be guaranteed.

​

 

BEGINNER BOOTCAMP POLICY

​

The Beginner Bootcamp is valid for a 1.5-hour Salsa Partnerwork session specifically designed for beginners.

​

If you booked a bootcamp and are unable to attend, please contact us at least 24 hours before the event to request a credit. The credit can be applied to future bootcamps or other DVS classes. 

​

Please note:

  • Credit expires 6 months from the date of the cancelled bootcamp.

  • Credit is non-transferable.

  • The  Beginner Bootcamp is non-refundable after 3 days of purchase.

  • If you cancel less than 24 hours before the bootcamp, the credit cannot be guaranteed and will be issued at the discretion of Dance Vancouver Studio, depending on the situation.

​

PRIVATE LESSON PAYMENT & CANCELATION POLICY

 

A 50% non-refundable deposit is required for all private lessons. The private lesson rate covers up to 2 people. Scheduling changes/rebookings must be made 24 hours in advance or your deposit will be forfeited. For all rescheduled bookings made within more than 24 hours, the deposit will go toward the next booking. In the event of a cancellation the deposit is non-refundable. 

​

For class packages, if you change or rebook a class less than 24 hours in advance, the class will be deducted from your package and considered lost.

 

 

LOST PROPERTY POLICY

 

Dance Vancouver Studio will not be responsible for items lost, damaged or stolen, however anything we do find will be placed in the Lost & Found Bin at the Front Desk. Lost items will be held at the Studio for 30 days, after that time period, any unclaimed items will be donated. Secured lockers with key access are available at no cost during class hours. Please ask the Front Desk for assistance.
